The following end-to-end flow shows how a package moves through the system from announcement to delivery. Every step is tracked with timestamps, user attribution, and status updates.

Customer Announces Package (Pre-Alert) or Admin Creates Shipment

The process begins when a customer submits a pre-alert through the customer portal — notifying the warehouse about an incoming package — or when an admin/employee creates a new shipment directly from the back office using the shipment creation wizard.

Package Arrives at Warehouse — Staff Receives and Scans

When the physical package arrives, warehouse staff receives it and scans the tracking number or barcode. If linked to a pre-alert, the system automatically matches the package to the customer's announcement and updates the status.

Shipment Created with Automatic Rate Calculation

The shipment is created with origin, destination, dimensions, and weight. The rate engine automatically calculates the shipping cost based on the applicable rate card, zone, weight tier, and dimensional factor. The customer is notified.

Pickup Scheduled, Driver Assigned

If the shipment requires a pickup from the sender's location, a pickup request is created and assigned to an available driver. The driver receives a notification with the pickup address and time window.

Package Dispatched with Real-Time GPS Tracking

The shipment is added to a dispatch manifest and assigned to a driver for delivery. Once the driver begins the route, GPS tracking updates the shipment's location in real time on the map. Customers can follow the delivery via the public tracking page.

Driver Delivers with Proof of Delivery (Signature / Photo)

Upon reaching the destination, the driver captures proof of delivery — a recipient signature, a delivery photo, or both. The shipment status updates to Delivered and all parties receive a confirmation notification.

Invoice Generated, Payment Processed

An invoice is automatically generated from the shipment charges. It can be sent to the customer via email, WhatsApp, or SMS as a branded PDF. Payment is recorded when received, and the invoice status moves from Draft to Paid.

Customer Tracks via Public Tracking Page

Throughout the entire process, the customer can track their shipment on a public tracking page using their tracking number — no login required. The tracking page displays a full status timeline with timestamps, driver notes, and delivery confirmation.
